This policy explains what personal information Matthew Oliver Landscapes collects when you contact us or use this website, what we do with it, and the rights you have over it. We have kept it short and in plain English on purpose.
Matthew Oliver Landscapes is a garden design and landscaping business based in Stevenage, Hertfordshire. For the purposes of UK data protection law we are the data controller for the information described here.
When you fill in our contact form, email, call or request a consultation, we collect your name, phone number, email address, postcode and whatever you tell us about your garden and your project. If we go on to quote or carry out work, we also hold your full address and the records of that job.
Our website hosting provider may process technical information such as your IP address, browser and device type, and request logs to deliver the website and maintain its security. Google Analytics is not currently installed on this website.
We do not collect special category data — health, ethnicity, religious belief and the like — so please do not send it to us. We do not knowingly collect information from children.
We do not sell your information, and we do not use it for automated decision-making or profiling. We only send marketing if you have asked us to, and every marketing email carries an unsubscribe link.
UK GDPR requires a lawful basis for using your information. Ours are:
| What for | Lawful basis |
|---|---|
| Answering your enquiry | Legitimate interests — you contacted us and expect a reply |
| Quoting and carrying out work | Performance of a contract |
| Invoices and accounts | Legal obligation — HMRC record keeping |
| Marketing emails | Consent, which you can withdraw at any time |
| Website operation and security | Legitimate interests — maintaining a functioning and secure website |
We share your information only where we need to, and only with organisations processing it on our behalf under contract:
| Who | Why |
|---|---|
| GoHighLevel | Website hosting, contact forms and our customer records |
| Our accountant | Bookkeeping and tax returns |
| Suppliers and subcontractors | Only what is needed to deliver your project — a delivery address, for example |
Some of these providers are based outside the UK. Where information is transferred abroad it is protected by UK adequacy regulations or standard contractual clauses. We may also disclose information where the law requires it.
Cookies are small files stored on your device. Website hosting and embedded features may use cookies or similar technologies to support their functionality. Google Analytics is not currently installed.
You can manage or block cookies through your browser settings. Blocking cookies may affect features that depend on them.
| What | How long |
|---|---|
| Enquiries that do not become work | 12 months |
| Customer and project records | 6 years after the work finishes |
| Invoices and accounts | Normally 6 years, or longer where a legal requirement applies |
| Marketing contacts | Until you unsubscribe |
Once we no longer need your information we delete it or render it anonymous.
The site runs over an encrypted connection, access to our systems is password protected and limited to people who need it, and we review that access from time to time. No system is completely secure. If a personal data breach occurs, we will assess the risk and notify the ICO where required, without undue delay and within 72 hours of becoming aware of it. Where a breach is likely to create a high risk to your rights and freedoms, we will also inform you without undue delay.
Under UK GDPR you have the right to:
Email us to exercise any of these. We normally respond within one month. Requests are generally free of charge, subject to the exceptions allowed by data protection law.
If you are unhappy with how we have handled your information, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
We may update this policy as the business or the law changes. The current version always sits on this page, with the date it was last updated at the top. This version is dated 13 October 2026.
